Who we're looking for
We're looking for a Team Secretary to join our Global Emerging Market Equities team. This is a busy role supporting a team of Portfolio Managers, Analysts, Investment Directors and Fund Managers.

The base
We moved into our new HQ in the City of London in 2018. We're close to our clients, in the heart of the UK's financial centre. And we have everything we need to work flexibly.

The Team
Schroders' Global Emerging Market Equities team comprises 50 investment professionals, with an average of 15 years' investment experience. This includes nine portfolio managers, an emerging markets strategist/fund manager, 38 analysts and three investment directors. The analysts are based globally in seven locations: Dubai, Hong Kong, London, Sao Paulo, Shanghai, Singapore and Taipei (please note this role is mainly supporting the London team).

What you'll do
Meeting management
• Organisation of day to day meetings including communication, required travel, room bookings and catering requirements
• Preparation of meeting materials
• Event organisation including internal lunches and outside speakers
• Preparation and enhancement of presentations
• Taking of meeting minutes as required

Extensive and complex diary management
• Maintenance of the team calendar
• Diary management in collaboration with investment team members
• Particular attention on client related diary management co-ordination

Travel arrangements
• Working within the Schroders travel policy to effectively manage travel costs
• Preparation of detailed travel itinerary, booking of meetings, all required travel arrangements and visas
• Maintaining travel budget spreadsheet for the team

Team administration:
• Processing Expenses and invoice payments
• Onboarding new joiners and managing leavers
• Responding to emails and other queries.
• Answering and directing phone calls, taking and passing on messages
• Absence/holiday monitoring and logging
• Coordinating desk moves
• Collating information and assisting with research activities
• Management/filing of paper and electronic records i.e. training records, staffing lists and organisational charts
• Ordering stationery and supplies

Cross department collaboration:
Working with the other secretaries and administrative support across Investment to share best practice and cover annual leave/absences or particularly busy periods.

The knowledge, experience and qualifications you need
• Team Player with flexibility to take on a variety of tasks.
• Excellent time management and proactive with ability to use own initiative, prioritise and work to deadlines.
• Accuracy and good attention to detail.
• Professional telephone and excellent interpersonal skills.
• Complete adherence to confidentiality at all times.
• Previous secretarial/administrative experience at a senior level.
• Sound grammatical understanding and accurate spelling
• Advanced/intermediate Microsoft Word, Excel, PowerPoint and Outlook knowledge
